Your Agreement with ZFour
These Terms govern your access to and use of the ZFour HRMS platform, website, and related services operated by ZFour technology private limited .

1. Agreement to Terms
Welcome to ZFour. These Terms of Service ("Terms") govern your access to and use of the ZFour HRMS platform, website, and services ("Service" or "Services") provided by ZFour technology private limited ("ZFour", "we", "us", or "our").
By registering for an account, accessing, or using our Services, you agree to be bound by these Terms. If you are entering into these Terms on behalf of a company or other legal entity, you represent that you have the authority to bind such entity to these Terms.
If you do not agree to these Terms, you must not access or use the Service. Your use of the Service is also subject to our Privacy Policy and Cookie Policy, which are incorporated into these Terms by reference.
2.Accounts & Subscriptions
To use the Service, you must create a registered organisation account. You are responsible for:
- Providing accurate, current, and complete registration information.
- Maintaining the confidentiality and security of account passwords and access credentials.
- All activities that occur under your organisation account, including actions taken by authorised employees and administrators.
- Promptly notifying us of any unauthorised access or security breach related to your account.
Subscription plans are billed per active employee per month. You may upgrade, downgrade, or cancel your plan in accordance with the terms of your selected pricing tier. Cancellation requests must be submitted before the next billing cycle to avoid renewal charges.
3.Subscription Fees & Payment
- Fees: Services are billed on a subscription basis per employee, per month, according to our pricing plans published at zfour.in/pricing.
- Invoicing: A valid GST invoice will be generated at the beginning of each billing cycle. Payments are due within the terms specified on your invoice.
- Taxes: All fees are exclusive of applicable taxes (such as CGST, SGST, or IGST), which will be added at checkout or on your invoice as required by law.
- Suspension: We reserve the right to suspend access to the Service for accounts with outstanding overdue invoices after reasonable notice.
4. Acceptable Use Policy
You agree not to use the Services to:
- Violate any local, state, national, or international laws, including Indian labour and employment regulations.
- Upload or transmit any malware, viruses, or malicious code.
- Reverse engineer, decompile, or copy the architectural structure of the ZFour platform.
- Access or attempt to access other customer databases or compromise server integrity.
We may suspend or terminate your account immediately if we reasonably believe you have violated this Acceptable Use Policy.
5.Data Ownership & Privacy
You retain all rights, title, and interest in and to all data uploaded by you or your employees into the Service. We process your data in accordance with our Privacy Policy. You grant us a limited licence to host, display, and process your data solely for the purpose of providing the Service to you.
As your Data Processor, we will not access, use, or disclose your employee data except as necessary to provide the Service, comply with applicable law, or as instructed by you. Upon termination of your subscription, you may export your data within 30 days before it is deleted from our systems.
6. Limitation of Liability
To the maximum extent permitted by applicable law, ZFour shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits or revenues, whether incurred directly or indirectly, or any loss of data, use, goodwill, or other intangible losses resulting from your use of or inability to use the Service.
Our total aggregate liability to you for any claims arising out of or relating to these Terms or the Service shall not exceed the total fees paid by you to ZFour in the twelve (12) months preceding the claim.
ZFour provides HR software tools to assist with payroll, attendance, and compliance workflows. You remain solely responsible for verifying the accuracy of statutory calculations and filings before submission to government authorities.
7. Governing Law
These Terms and any dispute arising out of or in connection with them shall be governed by and construed in accordance with the laws of India, and subject to the exclusive jurisdiction of the courts located in New Delhi, India.
8. Amendments to Terms
We may modify these Terms from time to time. We will notify you of any material changes by posting the updated Terms on our website, by email to the address associated with your account, or through an in-platform notification at least 30 days before the changes take effect.
Your continued use of the Service after changes take effect constitutes acceptance of the new Terms. If you do not agree with the updated Terms, you may terminate your account by contacting us at hello@zfour.in.
